Replace the spreadsheet and the SaaS pile

Bespoke web apps, built around how you actually work.

A bespoke web app is a tool built around how your business actually works, instead of a spreadsheet that breaks or a pile of SaaS subscriptions that never quite fit. We shadow your team, model your data, build real authentication, roles and an audit trail, and ship one owned application: an internal tool, client portal, booking system, CRM or dashboard with the data in your own database and exportable at any time. You stop working around the software and let the software serve the work.

We shadow your team, model the data into one source of truth, wire real auth and roles, build the screens people use daily, and add audit and reporting. The result is one owned tool, not a spreadsheet and a stack of subscriptions.

Why you need this

The hidden cost of spreadsheets and SaaS sprawl.

Pain 1

Your business runs on a spreadsheet that is one paste away from chaos.

No concurrent editing, no audit trail, no permissions. One wrong formula or deleted row, and the source of truth is silently wrong for weeks.

Pain 2

You rent eight SaaS tools that do not talk to each other.

Per-seat fees climb every year, your data is scattered across vendor databases, and your team copy-pastes between tabs instead of doing the work.

Pain 3

Off-the-shelf software does not model your business.

Your team contorts its process to fit a generic tool, the bits that matter live in someone's head, and reporting is a manual end-of-month scramble.

What is the SaaS pile costing you?

Set how many tools your team rents and how many people need a seat. This is roughly what you pay in per-seat subscriptions every year, money you stop renting when you own one app.

Annual per-seat SaaS spend

£19,008

across 6 tools for 12 people

That is £95,040 over five years in rent that grows every time you hire. A custom app is a one-off build with low running costs and no per-seat tax.

Estimate based on a blended £22 average per seat, per tool, per month. Your real figures will vary by vendor.

Oxwyn consultant shadowing a team member and their spreadsheet workflow

Stage 01 · Shadow

We sit with the people who will use it every day.

The method

Five stages, from shadowing your team to handover.

A repeatable build path: shadow the team to learn the real workflow, model the data into one source of truth, wire auth and roles, ship the screens people use daily, then hand over reporting, exports and a runbook.

01

Shadow the team

Sit with the people doing the work, map the real workflow and the edge cases the spreadsheet hides.

02

Model the data

Design a clean schema that becomes the single source of truth, with relationships and constraints that hold.

FAQ

Questions teams ask before they build.

What is a bespoke web app?

A bespoke web app is software built around your specific workflow, rather than a generic SaaS product or a spreadsheet. It can be an internal tool, a client portal, a booking system, a CRM or a reporting dashboard. You own the code and the data, and the app models your business rules exactly instead of forcing you to adapt to a template.

When should I replace a spreadsheet with an app?

When more than one person edits it, when a wrong edit would be expensive, when you need permissions, history or reporting, or when onboarding someone to the spreadsheet takes more than a few minutes. At that point a spreadsheet is a liability: an app gives you concurrent access, validation, an audit trail and a real source of truth.

Will a custom app really be cheaper than our SaaS subscriptions?

Often, yes, once you add up per-seat fees across multiple tools and the manual work of moving data between them. A custom app is a one-off build plus low running costs, with no per-seat tax that grows as you hire. Use the calculator on this page to compare your current annual SaaS spend with owning one tool.

Can it integrate with the tools we already use?

Yes. We integrate with the systems you want to keep, such as accounting, email, payments, calendars and existing databases, through their APIs, and we can import your historic data so nothing is lost in the move.

How do you handle users, roles and security?

Every app ships with real authentication, role-based access control so people only see what they should, and an audit trail of meaningful changes. Data is stored in your own database with parameter-bound queries and row-level security where it applies.

Do we own the code and the data?

Completely. You get the source code, the database and a written runbook. The app is built on a conventional Next.js and Postgres stack that any senior engineer can read and extend, so you are never locked to us, and your data is exportable at any time.

How do you keep it from becoming a mess over time?

A clean data model, a conventional codebase with named server actions, automated checks and a written runbook. We build the app so it is legible and extendable, and we can support and evolve it on a retainer or hand it fully to your team.

Can it work on mobile?

Yes. The apps are responsive and work in the browser on phones and tablets, and where it helps we build them as installable progressive web apps with offline-friendly behaviour, so field and on-the-go teams can use them without an app store.
